Microsoft Teams Latest Update!

Teams received an update which included two new features; Read Receipts & Display Names

Display Names is a welcome feature as it allows for customisation of user’s profiles, additionally, it means that searching for profiles is much easier as you won’t need to remember email addresses, you just need to remember a simple display name.

Read Receipts have been added, but only the icon is displayed for 1:1 conversations, for group conversations it is displayed a different way. We’ll talk about both in this post. The read receipt feature has been long awaited and was initially planned for release back in the second quarter of 2019, but it was delayed twice but it finally was released on January 15th 2020. Below is an image which shows the read receipt feature within a 1:1 conversation:

When in a group conversation the read receipt is displayed within the “…” symbol that appears in the reactions bar when hovering over a message that you have sent. It will show out of the number of members within the group who has read the message, then once you click the “Read by…” you can see the name of those that have read it. The New Office Icons

As Microsoft has evolved and developed a collaborative suite, especially from the introduction of Microsoft Teams, they have decided to also evolve their Office icons!

The last time the icons had received an updated was in 2013, so these new icons are a breath of fresh air for Office 365.

Microsoft has revealed the all-new, modern, Office 365 app icons with bolder, lighter tones while still keeping to their roots of including the app’s initial and keeping the icons instantly recognisable.

We can see the evolution of the icon for Word form 2007 and how the icon is much slicker:

These new icon designs for Word, PowerPoint, Excel, Skype, Teams and more, are being pushed out to nearly one billion Office users across the world, on mobile and desktop!

Reuse slides in PowerPoint!

Streamlining the creation of presentations, without starting from scratch, is constantly improving thanks to Microsoft.

PowerPoint has always had an incredible number of templates to choose from, to speed this process up.

To see what templates are available in PowerPoint, click on New and type in a search term or select on one of the suggested searches and you can find professional looking templates.

You and your organization can create your own templates as well.

However, the most common process would be to use an existing deck your (Or one of your team), already created, as the starting point for a new presentation.

This is where the newer, reuse slide capability can be quite helpful!

Simply click the Reuse Slides button in the Home tab to surface existing PowerPoint presentations in the sidebar and browse through recommended PowerPoint decks you have access to.

View the slides in the presentation you’d like to borrow from, select the ones you want, and insert them into your deck.

If the AI doesn’t suggest the right presentation, you can conduct a search to find the one you want!

Office Dark Mode for Mac

Over time, Dark themes in operating systems and applications have become increasingly popular. Many users prefer darker themes because they are easier on the eyes, especially under low lighting conditions.

Microsoft introduced the ability to choose a default app mode setting of Light or Dark in Windows 10 a while back and extended that functionality to the Windows File Explorer starting with the October 2018 update.

Dark gray and black themes have been available for some time for the Office desktop apps on Windows. One way to configure them is by clicking on File, then Options, then selecting the desired theme in General tab of any Office app.

With the release of MacOS Mojave, Mac users can also add a darker appearance to their desktop. Now, Microsoft Office for Mac inherits the appearance settings from the operating system.

To set Office in dark mode on your Mac; click on System Preferences, then General, if you select the Dark option under Appearance, those setting will flow through to Office for Mac.

New To-Do feature in Word

Microsoft has recently announced the To Do Feature coming soon to Word.

This will mean if there is a place in your document you want to come back to at a later time, just type TODO and whatever note you want, like “add images” and Word will recognise and track these entries as to-dos.

Another new feature will be the ability of @mention within the TODO placeholder.
So, if you wish for a colleagues input on a section of the Word document, you can add TODO: @mention.

When you come back to the document, you’ll see a list of your remaining to-dos, and you can click each one to navigate back to the right spot.

When you @mention someone within the to-do, Word will email them a notification with a “deep link” to the relevant place in the document.

Once this has rolled out, please be aware that your document needs to be stored on SharePoint or OneDrive for business to get this to work.

This new capability is available is currently in preview, and rolling out soon for all Office 365 subscribers.

OneDrive Support for Mac OS X 10.12 or above!

Microsoft has announced they have decided to retired OneDrive support for Mac OS X 10.10 and 10.11, to ensure they focus on developing the best, most secure, end-user experience possible.
The OneDrive Desktop application (sync client) will look to phase out support for Mac OS X Yosemite 10.10 and 10.11. These changes will go into effect February 1st, 2019.

This means, from 1/2/2019, the existing OneDrive sync client installations on unsupported operating systems will stop updating.
These clients will continue to run, but functionality will no longer be tested.
It is not advised to continue to run on these unsupported operating systems.

New installations on unsupported operating systems will be blocked.
Also meaning, any bugs and issues found on unsupported operating systems will no longer be investigated or fixed.

With all this in mind, Microsoft has recommended that Mac users make sure to upgrade their machines to Mac OS X 10.12 or above before February 1st, 2019.
Or better yet, ensure to update to macOS Mojave 10.14 for the best experience!

The Importance of Email Security!

Cybercriminals are continuously finding new ways to breach organization networks. The most common method is via email.

They target businesses by using their end user email addresses, often found shared on social networks and other locations online. The end users then unintentionally and innocently click on phishing links. This opens malware attachments, or give up credentials and other sensitive information online, meaning success for the Cybercriminals.

Recently, there has been a large increase in spam/trojans/viruses and phishing emails, with the main awareness raised regarding the TV License email scam. As reported by the BBC, “Action Fraud said it received 5,247 complaints about such emails between 1 October and the end of December.”

Email providers, like Microsoft, do provide a basic level of filtering on incoming emails which delivers some suspicious emails to your Junk/Spam folder. However, as mentioned this is a basic filter and will not protect against convincing emails originating from cybercriminals.

However, there are many steps a business can take to combat these horrible, compromising emails. Numerous layers of security/protection will reduce the chance of being impacted/attacked.

1. Additional Layered Email Security Protection;
This service acts as an extra layer when it comes to preventing spam/trojans/viruses and phishing emails getting through to the business. It will stop emails from being received by the unaware user which are determined as a threat, protecting against ransomware/viruses/impersonation attacks, fraud, phishing and more.

2. Multifactor Authentication
Another service we recommend is Multi-factor authentication, which provides a further layer of security on the user’s email account. This will protect against any attempt to comprise the email accounts. Even if the cybercriminal has the password of the email account, they wouldn’t be able to gain access without the authentication code which is exclusively linked to the email account. This will ensure access for only the intended user.

3. Security Awareness training
Taking part in the cybersecurity awareness training, includes phishing simulations, IT and security best practices, data protection and compliance training (where relevant). This knowledge will enable businesses to significantly reduce the risks they face due to user error. StaffHub retiring to Microsoft Teams

Microsoft recently announced that Microsoft Teams is evolving to include a new set of capabilities that will simplify schedule management and help deliver the tools for every worker to get the job done.

With Microsoft’s investments in schedule management, which has been developed with Firstline Workers in mind, Microsoft has decided to retire Microsoft StaffHub and bring this capability in addition to a new Home screen experience, into Teams, making it the platform for all workers.

Customers that have been using Microsoft StaffHub, have been recently notified.

If you were planning to use StaffHub, it would be best to explore Microsoft Teams, which has numerous benefits, with team communication and collaboration, ideal for employee management.

From 1st April 2019, Microsoft StaffHub will no longer be available for new tenants and will be removed from the Apple App Store, Google Play Store, and all other points of access. Microsoft StaffHub will then stop functioning for all users on 1st October 2019. Anyone who attempts to open it will be greeted with a message directing them to download Microsoft Teams.

These changes are part of Microsoft continued efforts to refine Microsoft 365 and Microsoft Teams. as the universal toolkit for teamwork.

Updates to Outlook on iOS and the Web

Microsoft will start to roll out a new design in Outlook for iOS. The changes are tailored to create faster and more focused experiences with more context at a glance.

As part of ongoing Office 365 user experience updates announced and the new icons revealed, the changes to Outlook for iOS updates include:

– A bold blue header and updated typography across email, calendar, search experiences and account and contact avatars for instant recognition and ease of navigation to and within the app

– Enhancements to the Focused Inbox and Other toggle and message filtering experience

– Subtle design additions including sensory improvements and haptic feedback with swipe Users will be able to update Outlook for iOS when it’s available to them through the iTunes Appstore roll out that’s taking place.


Microsoft is also rolling out multiple new features for Outlook on the web.

Once these features are available for your organisation, you will be able to:

– Sign into Outlook on the web at People with an Office 365 account that use Outlook on the web will be able to sign-in to their work/school accounts using Sign in via

-Use improved response tracking: Microsoft has improved how Outlook handles meeting responses. Previously, when you selected “Don’t send response” or turned off the “Notify organiser” toggle, Outlook wouldn’t register your response to the meeting and the organiser wouldn’t know your response. With this change, when you select “Don’t send response” or turn off the “Notify organiser” toggle, Outlook won’t email your response to the organizer but will update the meeting invite with your response. The meeting organiser and invitee both have to be in Office 365 for improved response tracking to work.

– Use Teams for online meetings: After this change takes place, if your organisation has enabled Microsoft Teams, the new Outlook on the web will use Teams as the default online meeting tool instead of Skype for Business. If your organisation hasn’t enabled Teams, the new Outlook on the web will continue to use Skype for Business. This update will only show in the new Outlook on the web and not in the classic experience. These features have begun gradually rolling out, and Microsoft is expecting rollout completion in January 2019.

In Excel, Ideas (previously called Insights) helps you identify interesting trends and patterns in your data, providing charts with formatting and titles that can accelerate customers’ analysis and understanding.
